What a good reply to a bad review actually does
The reviewer is not really your audience. The next customer is — the one reading your profile at 8pm trying to decide whether to call you or the next firm down the list. They already know that every business gets the occasional bad day. What they are looking for is how you handled it.
So the reply that works is short, calm and specific: acknowledge what went wrong, apologize once, say what changes, and move the detail off the review. The reply that costs you work is the one that argues, lists everything the customer got wrong, or reads like it came out of a legal department.
- Reply within a couple of days. A month-old one-star with no reply reads as nobody being home.
- Apologize once, not three times. Repeated apologies read as either panic or sarcasm.
- Never restate the complaint in detail. You would be repeating the accusation under your own name, in a place Google indexes.

How do I respond to a bad Google review?
Reply publicly, quickly and once. Do not argue, do not repeat the complaint back in detail, and never mention anything the reviewer did not raise themselves. Acknowledge what went wrong, apologize once, say what you are doing about it, and invite them to contact you directly so the rest of the conversation happens off the review. Will Google penalize me for replying to reviews?
No. Replying is encouraged. What you must not do is offer anything in exchange for a review, ask a customer to change or remove a review as a condition of being helped, or post a reply containing personal details about the customer.
